Key Facts About Unattended HVAC Service
- TCC technicians are background-checked, licensed, and insured for unattended access
- All work is documented with photos and a written technician report
- You control exactly what work is authorized and the spend limit
- Approved for residential, commercial, and vacant properties across Las Vegas
- The authorization form must be completed before your service date
Who uses unattended property service?
Las Vegas homeowners, landlords, and property managers commonly request unattended service when the property is vacant or when scheduling around a work day is impractical. Common situations include:
- Landlords and property managers with tenants in place who cannot take time off for an HVAC appointment
- Vacant properties and homes for sale where no one is regularly present
- Long-term TCC customers with established service history who prefer a streamlined process
- Commercial properties with limited staff availability during certain hours
- Out-of-town homeowners managing service remotely
TCC strongly recommends having someone present when possible, particularly for first-time repairs or high-value work. For situations where that isn't practical, the authorization form gives you control over access, scope, and spend limit while protecting both parties.
How unattended service works
- Complete and return the authorization form before your appointment. Email the signed form to requests@thecoolingco.com. The form captures property access details, the scope of authorized work, and your spend limit.
- TCC office reviews and approves the request. First-time unattended customers, repairs exceeding $1,000, and complex commercial systems require manager sign-off before the appointment is confirmed.
- A licensed technician arrives within your appointment window. They follow the access instructions you provided, document everything with photos, and contact you before exceeding your authorized amount.
- You receive a written technician report after the visit describing all work performed, parts installed, and conditions observed. Invoicing follows standard payment terms.
What the authorization form covers
Property and access information
You specify the property address, type (residential, commercial, or vacant), and all access details: door codes, lockbox codes, alarm instructions, and any areas that are off-limits. You can also note whether roof or attic access is authorized.
Authorized work scope and spend limit
You decide what work TCC is authorized to perform: diagnostic only, preventive maintenance, specific repairs, or repairs up to a dollar amount you set. If the technician discovers work beyond your authorized scope, they contact you for approval before proceeding.
Emergency contacts
The form requires two emergency contacts. TCC will call if they encounter access issues, discover unexpected system conditions, or need approval to proceed beyond the authorized scope.
Liability framework
The authorization acknowledges that TCC will exercise reasonable care and documents all conditions with photos, but that you are responsible for securing valuables before the appointment. Pre-existing property conditions and damage necessarily caused by required repairs are excluded from TCC's liability. All work performed is billed under standard payment terms regardless of whether you are present for inspection.
Frequently asked questions
Is unattended service available for first-time customers?
Unattended service for first-time customers requires manager approval and is evaluated on a case-by-case basis. Customers with an established service history (typically 10 or more prior services) are approved routinely. Call (702) 567-0707 and ask about our unattended service options before booking.
What happens if the technician cannot gain entry?
If the technician cannot access the property using the instructions you provided, a trip charge still applies and TCC will contact you to arrange access or reschedule. To avoid this, double-check codes and lockbox locations before your appointment day.
Can I set a spend limit on unattended repairs?
Yes. The authorization form includes a field where you specify the maximum repair amount the technician may proceed with without contacting you first. If the technician finds work that exceeds your limit, they call before beginning.
Will TCC photograph the work?
Yes. TCC technicians photograph all work performed, existing equipment conditions, and access areas for every unattended visit. Photos are attached to your service record and available on request.
Can I authorize unattended service for a tenant's property?
Yes. Property owners and authorized property managers can complete the authorization form on behalf of a tenant-occupied property. Include the tenant's contact information in the emergency contacts section so the technician can reach someone on-site if needed.
What repairs are not allowed unattended?
TCC technicians may decline to perform unattended work they deem unsafe without supervision. This typically applies to gas line work, complex electrical panel work, or situations where the property conditions are unclear. If your situation is outside the standard scope, call us before booking.
